The Opportunity

We’re seeking an Administrative Assistant, Finance & Grants who will provide essential support to ensure the efficient operation of the Foundation’s financial and grants processes. This role combines bookkeeping, grants administration, and general administrative support—requiring someone who is highly organized, detail-oriented, and adaptable.

In this role, you’ll work closely with the Vice President of Finance, Grants Manager, and other Foundation staff to maintain accurate financial records, support grant payment processing, and ensure smooth day-to-day operations. Your work will be integral to the Foundation’s ability to fulfill its mission by supporting our financial and grants systems and helping it run effectively and accurately.

What You’ll Do

Support Financial Operations: Maintain accounts payable and investment files, coordinate vendor payments, manage vendor records, record transactions in QuickBooks, and assist with budget preparation and audit activities. Monitor credit card activities and reconcile expense reports.

Assist with Grants Administration: Track and support the grant payment process, maintain accurate records, manage tax credit documentation, reconcile payments between systems, and assist with grant proposal intake and reporting processes.

Provide Administrative Support: Provide administrative support to the Vice President of Finance. Cross-train on administrative duties to serve as backup for general administrative support of the office.

Maintain Systems and Documentation: Document procedures regularly, ensure files are organized and current.

The Details

The Administrative Assistant, Finance & Grants is a part-time (50% FTE), non-exempt position in the Foundation’s Denver, CO office.

Schedule: Although this position is half-time, the workload may fluctuate due to deadlines and shifting priorities. Typical office hours are Monday–Friday, 8:30 a.m.–5:00 p.m. It is anticipated that the Administrative Assistant will work Tuesday–Thursday, but the final schedule will be determined upon hire. Occasional evening work may be required.

Physical Requirements: Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 25 pounds at times.

Travel: Periodic travel may be required to complete duties of this position.

Reports To: Vice President of Finance

The compensation range for this position is $25–$36 per hour commensurate with experience.
